Support, Email Guides, and Server Settings

Here you’ll find straightforward guides and settings for setting up email on your phone and computer (Exchange, IMAP, and SMTP), webmail links, and information on backups and support.

Quick Guide: Exchange ActiveSync, IMAP & Device Upgrade

Choose the right connection method for your phones, tablets, and computers. With Magnic 365 Exchange ActiveSync, email, calendars, and contacts sync in real time — while existing IMAP desktops continue working in parallel without interruption.

Mobile, Calendar & Contacts (Push)

Recommended

1. Microsoft Exchange (Magnic 365)

ActiveSync Push · Port 443 SSL · Roundcube Calendar

Select Microsoft Exchange (or Exchange and Office 365) on your phone, tablet, or Outlook. Enter your email address and password — email, Roundcube calendar, and contacts sync in real time.

  • Account Type: Microsoft Exchange (or Exchange and Office 365)
  • Server (if prompted): mail.magnic.com · Port 443 (SSL/TLS)
  • Real-time Push sync: email, Roundcube calendar, and contacts

Upgrading Existing Devices

Safe Upgrade

2. Switching from Old IMAP to Exchange

0% Data Loss · IMAP & Exchange 100% Side-by-Side

Switching from IMAP to Exchange is completely safe and requires no message migration, as both connect directly to the same server mailbox.

  • Phone/Tablet: Remove the old IMAP account first before adding Exchange
  • All messages and folders remain 100% intact on the server
  • Desktop IMAP (Thunderbird / Mac Mail) works alongside mobile Exchange

Desktops, Thunderbird & Standard Mail

Standard Protocol

3. Classic IMAP & SMTP

mail.magnic.com · IMAP 993 SSL · SMTP 465 / 587

Standard server settings for desktop email clients (such as Thunderbird, Apple Mail, classic Outlook) and basic accounts without Exchange.

  • Incoming (IMAP): mail.magnic.com · Port 993 (SSL/TLS)
  • Outgoing (SMTP): mail.magnic.com · Port 465 (SSL/TLS) or 587 (STARTTLS)
  • Username: Your full email address (e.g. name@company.fi)

External Website or External DNS

DNS & Autodiscover

4. External Web & DNS Autodiscover

autodiscover.ha.magnic.com · SRV & CNAME · Port 443

If your website is hosted with Magnic, automatic Exchange sign-in works out of the box. For external websites or DNS, either enter the server manually or add Autodiscover DNS records.

  • Manual server on mobile: enter mail.magnic.com in the Server field
  • DNS CNAME record: autodiscover → autodiscover.ha.magnic.com
  • DNS SRV record: _autodiscover._tcp → 0 0 443 autodiscover.ha.magnic.com

Frequently Asked Questions, Exchange Upgrade & Technical Setup

How do I set up Microsoft Exchange (ActiveSync) on iPhone, iPad, Android, and Outlook?

Once Magnic 365 is enabled for your domain, push email, calendars, contacts, and reminders synchronize automatically:

  • iPhone & iPad (iOS): Go to Settings → Apps → Mail → Mail Accounts → Add Account → Microsoft Exchange. Enter your email address and tap Sign In. Enter your password — done!
  • Android (Gmail / Samsung Mail): Choose Add account → Exchange and Office 365. Enter your email address and password.
  • If prompted for Server (e.g., external website hosting): Enter mail.magnic.com as the Server, Port 443 (SSL/TLS), and your full email address as the Username (leave "Domain" blank).

What should I do with old IMAP accounts across my devices (phones, tablets, computers) when switching to Exchange?

Upgrading from IMAP to Exchange is completely safe and requires zero email migration because both IMAP and Exchange access the exact same mailbox on our servers:

  • Zero emails are lost when removing an IMAP account: All your emails and folders are stored safely on the server (mail.magnic.com). Deleting the old IMAP profile from your phone does not delete messages on the server.
  • On the same phone or tablet — remove the old IMAP account first: Delete the old IMAP account in your phone settings before adding the account again as Microsoft Exchange. Otherwise, you will receive duplicate notifications or an "Account already exists" error.
  • Desktop IMAP and Mobile Exchange work 100% simultaneously: You do not need to reconfigure all devices at once! A computer running standard IMAP (e.g., Thunderbird or Apple Mail) and a phone running Exchange work side by side in real time.
  • Note for Classic Outlook on Windows: If you stored calendar events or contacts inside local folders labeled "(This computer only)" under an old IMAP profile, export them before removing the IMAP account in Outlook.

How do I trace sent and incoming emails, get delivery proof, or rescue spam (Magnic Mail Trace)?

With Magnic Mail Trace & Delivery Proof (built right into Magnic 365 and Roundcube webmail), you can track every sent and incoming email in real time across our HA mail cluster (ha1 / ha2):

  • Verified Delivery Certificate (250 2.0.0 OK): Need proof that an invoice or quote reached the client? Open Mail Trace to inspect the exact timestamp, TLS cipher, receiving MX server, and remote queue receipt — and copy a formatted delivery certificate with one click.
  • Transparent SPF, DKIM, DMARC & Rspamd Diagnostics: Instantly see why an incoming message was rejected or routed to Junk, with human-readable explanations of spam scores and authentication checks.
  • 1-Click Spam Rescue, Training & Whitelist/Blacklist: Rescue a false positive directly from the trace view — one click trains Rspamd (learn_ham) and moves the email to your Inbox. Domain administrators can also manage domain-wide whitelists/blacklists and per-user address permissions.

What DNS records should be added if our website is hosted on an external web server?

If your website is hosted on Magnic web servers, automatic Exchange discovery (Zero-DNS Autodiscover) works immediately with zero DNS changes. If your website (the domain’s A record) is hosted on an external web server, you have two options:

  • Option A (Directly on the phone without DNS changes): Enter mail.magnic.com in the Server field when adding the Exchange account.
  • Option B (Automatic discovery via DNS): Add these two records at your domain’s DNS provider:
    1. SRV Record: Name: _autodiscover._tcp • Priority: 0 • Weight: 0 • Port: 443 • Target: autodiscover.ha.magnic.com.
    2. CNAME Record: Name: autodiscover • Target: autodiscover.ha.magnic.com.

How do I configure standard IMAP & SMTP in Outlook, Apple Mail, Thunderbird, or mobile?

For standard IMAP/SMTP connections on desktops, mobile devices, or ERP systems, always use the following encrypted settings:

  • Incoming Server (IMAP): mail.magnic.com • Port: 993 • Encryption: SSL/TLS
  • Outgoing Server (SMTP): mail.magnic.com • Port: 465 (SSL/TLS) or 587 (STARTTLS)
  • Username: Your complete email address (e.g. name@company.com)
  • Password: Your mailbox password
  • Outgoing Authentication (SMTP Auth): Required (same credentials as incoming mail).

Where do I access webmail, the calendar, and how do I change my password?

Webmail, shared calendars, contacts, and Magnic 365 tools (including Mail Trace) are integrated directly inside Roundcube at mail.magnic.com (open the calendar from the left sidebar or at mail.magnic.com/?_task=calendar). To change your password, sign in at mail.magnic.com, navigate to Settings → Password, and save your new password. Remember to update the password on your mobile devices and desktop apps.

What are the specifications of Magnic’s hosting infrastructure and 10-day mail queue?

Our production infrastructure operates in modern European data centers (EU) with geographically replicated HA cluster nodes with redundant power and NVMe RAID storage. Inbound email is protected by our redundant Antispam.fi cluster featuring 10-day automatic queue spooling, ensuring zero lost messages. 100% European data residency under GDPR.

How do automated backups work and what SLA response times apply?

Automated backups run every night. All web files, MySQL databases, and mailboxes are encrypted and replicated off-site to geographically separated data centers with at least 30 days retention. Infrastructure is monitored automatically, and personal engineering support is available on business days (Mon–Fri 08:00–17:00) directly with senior systems architects.
